How to Track Every Enquiry From First Click to Job

Many businesses spend on marketing without knowing which calls became jobs. A simple tracking habit shows you what is working and stops leads slipping away.

Enquiries reach a service business in many ways: phone calls, web forms, messages and walk-ins. When they are scattered across inboxes, notebooks and missed calls, some are forgotten, and you cannot tell which marketing actually brings work. A simple system fixes both problems.

Write down where enquiries come from

List every way a customer can contact you: calls, forms, chat, email, messaging apps and referrals. Then decide how you will record each one in the same place.

Record every enquiry in one list

A shared spreadsheet is a fine start. For each enquiry, note the date, the name, how they contacted you, what they want and where they found you if you know. As volume grows, a CRM can do the same job with reminders and history.

Use a simple pipeline

Give every enquiry a status so you can see what needs action. Four stages are often enough:

  • New: not yet replied to.
  • Contacted: you have replied and are talking.
  • Quoted: a quote is waiting for a decision.
  • Booked or lost: the outcome, with a short note on why.

Follow up on purpose

Many jobs are won by whoever replies first and follows up politely. Set a reminder for every enquiry that has not been answered or decided, and use short message templates so replies are quick and consistent.

Tag the source

Ask new customers how they found you, and note it. Use a different tracking phone number or web form for different channels where you can. Over time you will see which channels bring real jobs and which only bring noise. Some enquiries, such as walk-ins, cannot be traced perfectly, and that is fine.

Review it once a month

Once a month, count how many enquiries arrived, how many were answered quickly, how many became jobs and where they came from. Decide one thing to improve and check the result next month.

Be careful with personal details

Collect only what you need, keep the list private and limit who can see it. Be clear with customers about how you will use their details.

Tracking does not need to be complicated. If you would like help setting up a pipeline and source reporting that fit how you work, we can walk through it in a free consultation.
